Software Development

Custom Software Development for Canadian Businesses

When spreadsheets, group chats and three disconnected apps are running your business, we build the one system that replaces them. CRMs, portals, dashboards, booking and ordering tools, internal software, and software made for your own company and technology. Whatever you need built, we build it around how your team actually works.

Software we’ve built

Real systems, used every day

  • Built and run in-houseOTO's own business operating systemThe system we run OTO Studio on: a CRM for leads, clients, deals and follow-ups, a staff portal where each person only sees the records they are allowed to, and a search monitoring tool that tracks how the business shows up on Google and in AI answers.
  • From our Google reviewsSoftware for an airport teamOperational software built for an airport client, where details have to be right and the people using it have no time for a tool that gets in the way.
  • From our Google reviewsCRM and ordering systemsClient CRMs for managing customers and follow-ups, and an online ordering system connected to a CRM, so orders and customer records live in one place.

Typical investment

$15,000–$75,000+

For custom software, portals and CRM systems. Bigger platforms are quoted individually. Every project starts with a written fixed-scope quote.

When off-the-shelf software stops fitting

Most businesses start with ready-made tools, and that is the right call. The problem comes later: the same customer typed into four places, approvals chased by text, reports rebuilt by hand every Friday, and staff working around the software instead of with it.

Custom software makes sense when the work is specific to you, when the cost of the workaround keeps growing, or when the tool you pay for every month still does not do the one thing you need. If an existing product can do the job, we will tell you, and help you set it up instead.

Software tailored to your company and your technology

Some companies need software that exists nowhere else, because their process, product or technology is their own. We build that too: platforms made for one company, tools that sit on top of your own hardware, data or systems, and software that becomes part of the product you sell.

No industry is off the table. We learn how your business and your technology work first, then design and build the software around them, from the first screen to launch and support.

  • Company-wide platforms built for one business
  • Software that runs on or connects to your own technology and data
  • Tools for your customers, partners or field teams
  • New digital products you want to take to market

What we build

Most of it runs in the browser, on phones and computers, with no app store install needed unless the project calls for one.

  • CRMs and sales pipelines with leads, deals, follow-ups and tasks
  • Staff and employee portals with role-based access
  • Customer and client portals for bookings, documents, orders and status
  • Custom web applications for a single workflow or team
  • Operations dashboards and reporting pulled from your real data
  • Booking, scheduling, dispatch and ordering systems
  • Internal tools that replace spreadsheets and manual approvals
  • Connections between the tools you already pay for

How a project runs

We start with the people who will use it, not with a feature list. Who logs in, what each person is allowed to see, what they do every day, and which step costs the most time. That becomes the scope, and the scope becomes a fixed quote.

  • 01 Discovery: users, permissions, current tools and the costliest workflow
  • 02 Scope: screens, data, connections and a written fixed quote
  • 03 Design: clickable screens your team reviews before code is written
  • 04 Build: working software in short rounds you can test as it grows
  • 05 Launch: data moved over, staff walked through it, support in place

Security and permissions are part of the build

Business software holds customer details, prices and staff records, so access rules are designed at the start, not added later. Each person signs in with their own account, sees only what their role allows, and their actions are recorded under their own name.

Those rules are enforced on the server, not just hidden in the screen, so changing a link or a setting in the browser does not open up someone else's records. We run the same approach in the system we use to run OTO Studio.

Built to work with your website and marketing

Because OTO also builds websites and runs marketing, your software does not have to sit apart from the rest of the business. Enquiries from the website can land straight in the CRM, campaigns can be measured against real sales, and customers can move from the site into a portal without a second login.

Frequently asked questions

How much does custom software cost?
Custom software, web applications, portals and CRM systems usually fall between $15,000 and $75,000. Larger platforms with many user roles, integrations or phases are quoted individually and are not capped at $75,000. Hosting and third-party services are billed at cost. You get a written, fixed-scope quote before work starts.
Can you start with a smaller first version?
Yes, and we usually recommend it. We build the one workflow that costs you the most time first, put it in front of real users, then add the next piece. A focused first release is often the cheapest way to find out what the full system really needs.
Do we own the code?
Yes. You own the code, the database, the accounts and the domain. Nothing is locked to a platform you have to keep renting from us, and another developer can take it over if you ever need them to.
Can it connect to the tools we already use?
Usually. We connect to accounting, payment, email, calendar, booking and Google tools through their official connections where they exist. We check what each tool allows during scoping, before we promise anything.
Who maintains the software after launch?
We can keep supporting it on a monthly plan, covering fixes, security updates and new features, or hand it over to your own team with documentation. Either way it does not stop working if the relationship ends.
